5 signs your office Wi-Fi is the problem, not your internet

Five checks that separate a wireless problem from a circuit problem, before anyone signs an order for more bandwidth.

The ticket almost always says the internet is slow. It is worth ten minutes to check whether that is true, because the fix for a wireless problem and the fix for a circuit problem have nothing in common, and only one of them arrives as a monthly bill increase.

These are ordered by how easily you can observe each one on a normal working day. Worth saying plainly up front: doubling the internet plan is the most commonly purchased non-fix in this category, and it does not touch a single item below.

1. A wired machine is fine while the wireless ones are not

Plug a laptop into a wired port, run the same task that was failing, and compare. If the wired machine is steady while wireless users stutter, the circuit into the building is doing its job and the problem is in the last thirty meters. This is the fastest single test available and it costs a cable and a dongle. Do it before anyone phones the ISP.

2. The problem moves with location rather than time of day

Circuit problems affect everyone at once and tend to correlate with the clock: a bad afternoon, a nightly slowdown. Wireless problems correlate with geography. If the boardroom at the end of the hall is unusable while the desk under the access point is fine, that is coverage, not bandwidth. Walk the office with a call running and note where it falls apart.

3. Speed tests look good but calls still drop

A speed test measures throughput in a short burst under favorable conditions. A video call cares about jitter and packet loss, neither of which a speed test reports. A connection can show a healthy number and still drop a Teams call, because the two are measuring different properties of the same link. When the numbers look fine and the experience does not, stop trusting the number.

4. Performance degrades as more people arrive

If the network is comfortable at 8am and unusable by 10, and the variable is thirty people arriving rather than the hour changing, the constraint is airtime rather than the circuit. Consumer access points and older business units handle a handful of clients well and degrade sharply beyond that. Each person also brings a phone and often a watch, so a twenty-person office can put sixty clients on the air. Count devices, not people.

5. Reconnecting fixes it, temporarily

Toggling Wi-Fi off and on restores a good connection for a while, then it decays again. That points at association and roaming: the client stayed attached to a distant access point instead of moving to a closer one, or band steering is misconfigured. A circuit fault does not care whether a laptop re-associates, which makes this one of the clearer signals in the list.

If you only do one thing

Run the wired comparison before authorizing any spend. If the wired machine is healthy, a proper site survey costs a fraction of a year on the wrong circuit, and it tells you what to actually buy.
